LIFE GENERAL MEETING MINUTES 10-14-2008

 

Hello Everyone. At today’s meeting we discussed the following:

 

Riitmo @ the Bog October 23rd

 

We discussed the upcoming Riitmo event for LIFE on the 23rd. We emphasized highly on advertising.

We discussed how our publicists will be working on an entire advertising package and that we may have to ask for volunteer work to help them out. The package will include all of the following: fliers, IIT Today, PowerPoint Slides, Banners, ect. Also we urge all of our members to please let everyone know about this free event we will be hosting. We have contacted our friends from UIC and the Illinois College of Optometry to get people to come. Please help us in spreading the word and making the event a successful one.

 

Presentation of New LIFE Website

Jose Duquem, our webmaster has worked hard on a new website for LIFE and presented the new website at the meeting. It is a very professional website which is very easy to modify and awesome in appearance and character. We thank Jose for his outstanding work on the website and hope that all will visit it continually for we will use it for event updates and other such info. We also post Minutes and other updates on the website.

Update on SHPE Conference

 

We gave an update to the general body informing all who are planning to attend the conference to give us their plane receipts so that we can get the trans. Reimbursement started. Also we would like to acknowledge that this year we will be having a substantial amount of students attending the Conference from our LIFE SHPE Chapter.

 

I-Fest (Theme: the world without borders)

LIFE will be participating in IIT’s 33rd Annual I-Fest Competition.

As many know LIFE has been a constant participant at I-Fest and we have established a history at this event.

This year we will unfortunately not have a performance but we will sure have a booth and food and will concentrate on that.

We are this year’s returning champs for the booth and food competition. With our booth from last year, there are lots of expectations for us in this year’s competition.

We raised the bar for the booth construction. It is definitely time to get enthusiastic and begin the process of booth construction and food planning.

For this we set up two committees: a booth and food as is traditional for us.

The food committee comprises of a group of individuals who prepare everything necessary for food at our booth.

By this I mean that the committee:

·         Prepares the menu for I-Fest usually two entrees, two to three side dishes, a beverage, and desert.

·         Organizes the preparation of food prior to the fest and the arrangement for selling food

·         Comes up with a budget for food and prices for food to be sold.

·         Advertising

·         Presentation of food

·         Details regarding portions to be served, who is in charge of what station and such and such?

The food committee is very active and what we ask of our members who wish to be part of the committee is to help with selling food at the fest (scheduling), prepare dishes prior to fest, organize the whole food process. Ect.

Our mission on food for the fest is that we wish to present to the public dishes which are very in line with our culture, dishes that show our culture, our nature of alimentation, and furthermore give people a taste of our culture.  

The booth committee comprises of a group of LIFE affiliated individuals who do everything in relation to the booth construction and presentation.

This includes:

·         The finalization of a design

·         The buying of materials

·         Organization of tasks to get done

·         The construction of the booth at our Farr Hall office

·         The detail finishes of the booth

·         The moving of the booth to the Hub the night prior to I-Fest

·         The removal of the booth after the day Fest back to Farr Hall

Now this is a project which is obviously a team effort

What we ask of people who sign up for the booth committee is a helping hand to the extent that they can. We understand that people have school and other things to worry about but if you can give us a little of your time and help with just a portion of the project, we would definitely welcome your help.

The thing is, the way the booth construction goes down, everyone at one point or another lends a hand and we would definitely like to see this from you guys.

Carpentry and tools will be needed. If you have any tools which we may need please let us borrow them.

Overall, the point of the booth and food for us is to have FUN. It’s a project in which you really bond with others in having a common goal to be accomplished and at the end of the day, to see the booth in all its glory is well worth the time it took to build it.

 

Next we presented booth designs and voting took place on a specific design for I-Fest.

I’ve prepared a PowerPoint presentation for you guys for this occasion.

Final Note: for the booth and food committees, we will have separate meetings in order to organize the committees and begin working. For the booth I would like a meeting scheduled tomorrow. For food I would like to schedule a meeting for Monday. Please check your email if you signed up for either committee.

LIFE GENERAL MEETING (9-30-2008) MINUTES

DEBRIEFING OF LIFE/NSBE BBQ

At the general meeting we asked for feedback in regards to our Event with NSBE. We asked the following questions and received opinions/comments as follows:

Thoughts and comments. Food? Setup? Location? Date? Gaming? Fun? Planning? Sociability? Budgeting? What would you like to see different next time?

  • Food was good (abundance)
    • Special thanks to Mike for the Hot Dogs
  • Next time lets defrost the burgers
  • Good, sunny, warm day
  • Good gaming (no official volleyball game though)
    • Bag toss, football, soccer
  • Next time lets set up a cooking schedule
    • Special thanks to Jose Luis for cooking
  • Good communication with Brittanie rep. of NSBE
  • Great help with setting up, clean up, and buying of food
    • Special thanks to Hong for letting us use her fridge and apartment
  • Good budgeting. (ALDI comes cheap)
  • Generator for music next time
  • Too much of a line for food. Again lets prepare the food earlier next time
  • One game next time? An actual volleyball game (LIFE VS NSBE)

At the general meeting we informed our members on our upcoming events and gave them updates pertaining to each event.

SOLIS VISIT OCTOBER 3RD

  • Solis will speak with Dean and then give a speech in MTCC Ballroom
  • Food for the event is still to be determined.
  • We need a substantial crowd
    • Please try to attend
    • Let other people know and get them interested
  • Advertising!!! (flyers, IIT Today/Calendar, Banners)
    • Publicists are underway in advertising.

RIITMO AT THE BOG ON OCTOBER 23RD

  • Will contact Illinois College of Optometry and UIC (SHPE Chapter)
  • Will require advertising
  • DJ?
  • More announcements/updates will come as we get plans formalized.

We spoke to the general body about I-Fest and what is to be planned for the event. Last year we won first place in the Booth/Food Competition and are hoping to do so again this year.

We also spoke about the performance we plan on having and updated our members as follows:

INTERNATIONAL FEST NOVEMBER 7TH

  • Registration meeting last Friday (12PM-1PM)
    • Pertained to general info on registration, rules of the competitions, important dates, deadlines, ect.
  • Booth Ideas:
    • Aztec Pyramid
    • Kiosko (Gazebo)
    • Casa de Adobe
    • OLMEC Face
    • Family Oriented Table
    • Colombian Bus (Chiva)
    • Use the same one again or parts of it. Build upon it.
    • Spanish/Indigenous Relationship.
  • Performance (as a group it was decided that we should present three options to the performers on when to practice and go by the way of the majority)
    • Weekend Mornings (8:00AM-11:00AM)
    • Weekday Evenings (6:00PM-9:00PM)
    • Weekday Early Mornings (7:00AM-10:00AM)
  • We must begin to think of ideas for food
  • Also with that we must set up BOOTH and FOOD Committees.
